JOT is a paid product so your thoughts never have to be the product. No ads, no feed, no selling your data. This page explains exactly what JOT collects, where it goes and how long it stays.
Your voice
Your voice is transcribed to text, then the recording is discarded. Only the text is saved to your account. We do not keep an archive of your recordings.
01 The short version
- Your JOTs are tied to your account and visible to nobody else.
- There are no ads and no analytics or tracking tools. If JOT crashes, an anonymous crash report is sent so we can fix it.
- We never sell your data or share it with advertisers.
- Recordings are deleted from our servers as soon as they are transcribed.
- You can delete a JOT, all your JOTs, or your whole account at any time.
02 What we collect
- Your account: when you sign in with Google, we receive your name, email address, profile photo and a Google account ID.
- Your JOTs: for each one, the title, clean transcript, raw transcript, mode (Thought or Reflection), the time you recorded it and its JOT number.
- Search data: a list of keywords and a search index built from the text of each JOT. The index is a numerical summary of what the JOT means, and it is what lets you search by meaning and ask questions.
- Daily usage counts: how many transcriptions, tidy-ups and questions your account used each day, which is how the fair-use limits work.
- Recordings: held only briefly, as described in section 03.
- Crash reports: if JOT crashes, the error, the phone model, the Android version and a random identifier for that installation of the app. They carry no name, email, account ID or JOT content.
We do not collect your location, contacts, advertising ID or browsing activity. The questions you ask are not saved. A conversation exists only in the app on your phone, and is gone when you clear it or close JOT.
03 What happens to a recording
- Your phone records the audio.
- It is uploaded to our storage and sent to our transcription provider.
- As soon as transcription finishes, whether it worked or not, the recording is deleted from our storage.
- On your phone, the recording is deleted once your JOT is saved.
If transcription fails, for example because you have no signal, the recording stays on your phone so the thought is not lost. It becomes a JOT when you are back online, or you can delete it yourself from the banner on the record screen.
Questions you ask by voice are transcribed the same way. That recording is kept only in your phone's temporary files, and the question itself is not saved.
04 How we use it
Only to run JOT for you:
- turning your recordings into text, and giving each JOT a title and a clean transcript;
- numbering your JOTs and making them searchable;
- answering the questions you ask, from your own JOTs;
- keeping your account secure and applying the daily limits;
- replying when you contact us.
Under UK GDPR, we rely on the contract with you to provide JOT, and on our legitimate interest in keeping the service secure and affordable to run for the daily limits.
05 Who else handles your data
JOT uses a small number of providers, who process data on our behalf and only to deliver the service:
- Google Firebase: sign-in, the database your JOTs are stored in, temporary storage for recordings, and the servers that run JOT. JOT's server functions run in Belgium (europe-west1).
- Google Gemini API: receives the text of a JOT to write its title and clean transcript and to build its search index, and receives your question and relevant JOTs to write an answer.
- OpenAI: receives your recording to transcribe it.
- Firebase Crashlytics (Google): receives the crash reports described in section 02.
- Google Play: once paid plans launch, handles payments. We never see your card details.
Under their API terms, Google and OpenAI do not use this data to train their models. They may keep it for a limited period to detect abuse, as their terms allow. Some of this processing takes place in the United States; where it does, it is covered by the safeguards UK and EU data protection law requires.
06 Security
- Everything between the app and our servers is encrypted in transit.
- Your data is encrypted at rest by Google.
- Database rules mean only your signed-in account can read your JOTs. JOT numbers and search data can only be written by our servers, so they cannot be altered from a phone.
JOT is not end-to-end encrypted. Our servers and the providers above need to read the text of your JOTs to transcribe, title, search and answer.
07 How long we keep it
- JOTs and search data: until you delete them, or your account.
- Daily usage counts: until you delete your account.
- Recordings: as described in section 03.
- Crash reports: 90 days, then deleted automatically.
- Your account: until you delete it. Deleting it removes everything above straight away. See how to delete your account.
08 Your rights
- Delete: delete a single JOT, use Settings → Clear all JOTs, or Settings → Delete account.
- Access and a copy: email us and we will send you your JOTs. There is no export button in the app yet.
- Correct, restrict or object: email us and we will respond within one month.
- Complain: you can complain to the UK Information Commissioner's Office at ico.org.uk, or your local data protection authority.
09 Age
JOT is for people aged 18 and over, or with a parent or guardian's permission. We do not knowingly collect data from children.
10 Changes
If this policy changes in a way that matters, we will tell you in the app or by email before the change takes effect. The date at the top shows when it was last updated.
